DUTIES AND RESPONSIBILITIES: - Organize and support the demanding workloads of Executive Director, Development & Chief Engagement Officer.
- Exercise good common sense, judgment and discretion in handling confidential and sensitive material.
- Capable of professionally handling a high volume of donors, community leaders, and other important contacts in a calm, confident and friendly manner.
- Coordinate and manage calendars, schedule meetings and appointments, prepare expense reports, arrange catering, book meeting spaces, and set up conference calls.
- Answer, screen, and route incoming phone calls, emails, and inquiries as appropriate.
- Draft, edit, and prepare general and electronic correspondence with accuracy and attention to detail.
- Provide excellent internal and external customer service in a responsive and timely way.
- Research, compose and complete a professional document utilizing proper grammar, spelling and format skills.
- Prepare meetings, format presentations for Committee meetings and document minutes.
REQUIRED SKILLS & ABILITIES:- 5+ years of professional experience in administrative support or a related role.
- Self-starter, self-disciplined, highly organized team player.
- Proficient in MS Office including Word, Excel, Access and PowerPoint.
- Professional appearance and demeanor.
- Strong interpersonal skills and positive attitude.
- Excellent verbal and written communication skills, with strong attention to grammar and clarity.
- Strong work ethic with a willingness to take initiative and do what is needed to meet deadlines and objectives.
- Highly detail-oriented with the ability to maintain focus and a strong sense of urgency.
- Proven ability to multitask effectively by prioritizing responsibilities and managing time efficiently.
- Confidentiality is a must.
- Extensive experience with office administration, including organizing, creating, and maintaining electronic and hard-copy filing systems.
- Experience with CRM systems is a plus.
