Executive Assistant

Jewish Federation of Detroit seeks an experienced Executive Assistant to provide top-notch administrative and clerical support to the Senior Director, Community Affairs & the Director, Community Relations in a fast paced environment.    

DUTIES AND RESPONSIBILITIES

•    Exercise good common sense, judgment and discretion in handling confidential and sensitive material. 
•    Organize and support the demanding workloads of the Senior Director, Community Affairs and the Director, Community Relations.
•    Capable of professionally handling a high volume of donors, media, community leaders, and other important contacts in a calm, confident and friendly manner.
•    Schedule meetings, appointments, arrange catering, book rooms, and arrange conference calls.
•    Answer incoming calls for Executive Suite professionals, screen and route calls and emails as required.
•    Prepare general correspondence and electronic correspondence.
•    Provide excellent internal and external customer service in a responsive and timely way.
•    Research, compose and complete a professional document utilizing proper grammar, spelling and format skills. 
•    Prepare meetings, format presentations for Committee meetings and document minutes.

REQUIRED SKILLS & ABILITIES:

•    Confidentiality a must.
•    Self-starter, self-disciplined, highly organized team player.
•    Proficient in MS Office including Word, Excel, Access and PowerPoint and able to create tables, perform mail merges, create labels, envelopes and “tent cards”.
•    Professional appearance and demeanor.
•    Strong interpersonal skills and positive attitude.
•    Excellent oral and written communication skills with proficiency in grammar.
•    Must possess a strong work ethic.
•    Willingness to do what it takes to get the job done.
•    Must be focused with attention to detail and have a strong sense of urgency.
•    Ability to multitask by prioritizing work and organizing own time.
•    Possess extensive knowledge and experience with the administrative aspects of running an office including organizing, creating and maintaining files in both electronic and hard copy form.
